Top Tools to Build Your Coaching Business

I have such love and respect for coaches! When someone gets serious about a goal, the best thing that they can do to ensure their success is to hire a coach. And I’m thrilled to see an ever-increasing number of coaches with niches to address all sorts of clients and goals! 

Are you a coach? I’ve worked with many coaches as both a client and an advisor. Having seen it from the inside and outside, I’ve developed a list of the top tools to build your coaching business. Are you ready?

Searchie: Your Clients’ Coaching Hub

You won’t be surprised to see that Searchie is at the top of my list. Searchie makes it easy for all of your Zoom calls to be automatically added to your client’s private portal. There, they can watch the sessions again, review them while driving to work by listening to the session recordings in podcast form, or download the transcripts to read before bed or in the bathtub. Any coach will tell you that clients who review your sessions have a greater chance of success!

Not only can they review their sessions, but they can use Searchie’s search engine capability to search for “that one part” that they want to review. For example, let’s say you discussed a time diary with your client. If the client only wants to review that part of your discussion, they can simply search “time diary” and Searchie will take them to the exact moment those words appear. It’s a huge time saver!

VideoAsk: A New Way to Communicate

CanvaPro and Creative Market: Your In-house Design Duo

You want to deliver content that makes you look like a coaching pro who’s got it all together. Good design goes a long way to create that image—but who wants to keep a graphic designer on retainer? Nowadays you can take advantage of tools that make it easy for you to create your own professional-looking graphics.

CanvaPro is the paid version of Canva, and I believe that it’s well worth shelling out for the Pro version. CanvaPro makes it easy to apply your branding and style to thumbnails, social media images, your website, and more. It’s a snap to use, even if you’re totally new to creating graphics.

What if you want to create a logo or use a unique font? Creative Market is a vast resource of affordable design elements. Another wonderful aspect of Creative Market? You can buy things a la carte, no membership required.

Calendly

As a coach, your time is your currency. You’re juggling client meetings with prospective client inquiry calls—not to mention all your other obligations. Calendly allows you to capture inquiry calls directly from your website. Simply tell Calendly when you’re available for a Zoom call and the software will allow prospects to book time with you with no further effort on your part. You can set automations to send the client the Zoom link and reminders as well as any pre-meeting materials, such as an intake questionnaire. I also love that Calendly integrates with Stripe, so people can pay a deposit in a streamlined intake process.

Zoom Pro Lets You Coach Worldwide

Using Zoom, wherever you go, you can coach. Likewise, your services can help clients all over the world! Zoom puts you and your clients face to face whether you’re in your home office or working from a ski resort. The pro version is helpful so you can hold longer group meetings, record your sessions, and host large group webinars (a great lead magnet for your coaching biz). Zoom’s integration with Searchie is a huge time-saver: Recordings made in Zoom go straight into Searchie—easy breezy, with no extra steps for you to take.

Stripe and PayPal

You want to make it easy for people to do business with you—and you want to make it easy on yourself, too! Signing up to receive payments via Stripe and PayPal can provide clients with safe, trusted ways to pay you by credit card or ACH. These companies also make it easy for you as a vendor. Get paid fast and seamlessly with these two giants of the industry.

Establish Your Online Presence with Squarespace

A sharp, professional website is key to establishing your credibility as a coach. Squarespace makes it easy to tell new clients about your story, skills, and experience. You can highlight testimonials from past clients and link your Calendly to your website to lead prospects into sales calls. You can also host a blog right there in Squarespace so prospective clients can get a taste of your wisdom and approach.

Keep in Touch with Your Email List with ConvertKit

There are a number of good email marketing options out there, but I find that ConvertKit provides superior value and performance. ConvertKit doesn’t hold back on special features according to the size of your list, which I appreciate as someone who rocks a small but engaged list. It’s also a snap to use, making it easy to keep in touch with your audience. Coaching is an investment, and sometimes people may read your emails for a year before the time is right for them to take the plunge. Use ConvertKit to keep the communication flowing!
